Free restaurant POS: Which daily operations are included, and what still costs money?

A free restaurant POS is useful only if it supports the work your team performs every day: taking orders, managing tables, sending tickets, and accepting the payment methods you actually use. VDine's free core software includes QR ordering, menu management, tables, orders, in-person payment workflows, and reservation and waitlist management, subject to store configuration and eligibility. Online payments, electronic invoices, and AI features are separate decisions.

"Free core POS" describes a software plan, not a promise that tablets, printers, payment processing, initial setup, or support will have no costs. Evaluate those separately before changing systems.

What is included in the free core?

Restaurant taskCore capabilityCheck before launch
Edit a menuMenu and item managementPrices, variants, modifier rules and availability
Take dine-in ordersQR table ordering and order managementTable identification and staff acceptance workflow
Track the floorTables and dine-in workflowTable numbers, seating and turnover policies
Collect paymentIn-person payment workflowPayment method, employee permissions and reconciliation
Receive bookingsNative online booking and staff-entered reservationsBookable slots, party sizes, booking rules
Manage walk-insWaitlist and seating, for eligible postpay venuesEnable waitlist, create queues and configure eligible tables

For example, a full-service restaurant can let guests scan a QR code, review their order in the merchant Hub, and settle the bill in person. The same restaurant can manage native bookings and eligible waitlists. To verify the fit, run your actual menu and floor plan through the process instead of relying only on a feature checklist.

What may require a paid plan or third-party service?

Online payment collection, e-invoicing and AI-powered service are not included in the free core just because QR ordering is available. Confirm the relevant tier on the current VDine pricing page.

Payment providers can require separate merchant approval and transaction fees. Electronic invoicing also requires qualifying merchant and tax settings. A device you already own may still need a supported browser, reliable network, printing bridge or appropriate kitchen workstation setup.

Calculate the full cost in four buckets

Software: Record what the free tier covers, which modules need a paid plan, and whether pricing is monthly, annual or usage-based.

Equipment: Inventory tablets, computers, receipt printers, kitchen displays and networking equipment. Test compatibility before purchasing replacements.

Setup: Assign responsibility for entering the menu, configuring tables, connecting payment and invoice services, training staff and checking the rollout.

Operating costs: Include payment fees, consumables, third-party messaging, ongoing support and any recurring device or integration costs.

Use the same billing period when comparing vendors. A zero-dollar software tier and a fully installed restaurant system are not the same expense.

Run the restaurant's first-day test

With a real menu, ask staff to handle a party ordering different modifiers, an additional round, the kitchen handoff, checkout, and a booked party arriving while walk-ins wait. Verify prices, ticket states and table assignments at each step.

For the guest journey, review QR and NFC table ordering. For booking and seating conditions, see reservation and waitlist management. If you are comparing providers, follow the restaurant POS selection checklist.

Is the free core a limited-time trial?

VDine describes its core POS plan as permanently free. Feature access and commercial terms should be verified against the current pricing page.

Does free software mean free installation?

No. Setup tasks, devices, training and third-party services are separate considerations. Confirm responsibility and any fees before opening.

Can a restaurant start free and add AI later?

A venue can evaluate its core workflows first and then consider AI or other optional capabilities based on its plan and configuration. Do not assume every integration is active automatically.

Request a VDine product demonstration and onboarding assessment. Bring your menu, floor plan and device list so the team can evaluate the exact workflows your restaurant needs.
